Privacy Policy

This Privacy Policy describes how SolveLogix, LLC ("Company," "we," "us," "our") collects, uses, retains, and discloses personal information in connection with the HomesLogix service (the "Service"). It also explains the rights you have with respect to your personal information.

By using the Service you acknowledge the practices described in this Policy. Capitalized terms not defined here have the meaning given in our Terms of Service.

1. Controller

SolveLogix, LLC, a Florida limited liability company, is the data controller for personal information processed through the Service. For data submitted by an account holder about a third party (for example, a tenant, vendor, or contact), the account holder is the controller and the Company acts as a processor on the account holder's behalf.

2. Categories of Information We Collect

(a) Account Information. Email address, password (stored only as a salted PBKDF2-SHA256 hash, never in plaintext), name (if provided), timezone, role, IRS mileage rate, invite code redeemed, timestamp and version of accepted Terms and Privacy Policy, and timestamps of account events.

(b) Service Records. Records you create within the Service, including properties, drives, receipts, tenants, leases, payments, bookings, vendors, maintenance events, documents, and any photos, files, or notes you upload.

(c) Session and Device Information. A session identifier stored in an HTTP-only, secure, same-site cookie named hlx_session. We log the IP address and user-agent string associated with each authenticated session for security and audit purposes.

(d) Operational Logs. Server logs of requests made to operate the Service, including request paths, status codes, response times, and error traces. These logs are used for diagnostics and security, not for marketing or behavioral analytics.

The Company does not use third-party advertising networks, behavioral analytics, social-media tracking pixels, device fingerprinting, or session-replay software. The only cookie set by the Service is the essential session cookie identified above.

3. Personal Information About Third Parties

The Service permits you to record information about other individuals, including tenants, vendors, accountants, and contacts. By submitting such information you represent that you have the legal right to do so, including under any applicable contract, landlord-tenant law, fair credit reporting law, or privacy law, and that any consents required have been obtained. You are the controller of any such information. The Company processes it as a processor solely to deliver the Service to you.

The Service is not designed to be a repository for highly sensitive personal information. Do not submit social-security numbers, full bank-account or credit-card numbers, government-issued identification images, biometric data, or protected health information into the Service.

4. Purposes of Processing

The Company processes personal information only for the following purposes:

• To provide, operate, secure, and maintain the Service, including rendering dashboards, calculating tax-related figures, generating reports, and storing files you upload.
• To authenticate users and protect against unauthorized access, fraud, and abuse.
• To send transactional communications, including emails you opt into (such as receipts you generate for a tenant), account-security notifications, and service announcements.
• To debug, troubleshoot, and improve the Service, using the minimum information necessary.
• To comply with legal obligations, respond to lawful requests from public authorities, and enforce the Terms of Service.

The Company does not use Your Content to train artificial-intelligence models, sell or rent personal information to data brokers, or share it with advertising networks.

5. Subprocessors

To operate the Service the Company uses the following subprocessors. Each is bound by its own privacy and security commitments and processes personal information only as necessary to deliver its portion of the Service:

• Cloudflare, Inc. — application hosting (Cloudflare Pages), database (Cloudflare D1), file storage (Cloudflare R2). Data may be processed at Cloudflare's global edge locations.
• Microsoft Corporation — transactional email delivery through the Microsoft Graph API, using a mailbox operated by the Company within Microsoft 365.
• Calendar feed providers (optional, user-initiated). If you elect to connect a calendar feed (for example from Airbnb or VRBO), we fetch only the iCal URL you provide. No data is sent to those providers.

The Company maintains a current list of subprocessors. Any new subprocessor will be added to this Policy before its use begins.

6. Storage Location & Retention

Personal information is stored within Cloudflare's distributed infrastructure, primarily within the United States. The Company retains personal information for as long as your account is active. Upon termination, the Company will delete or anonymize personal information within thirty (30) days, except for records the Company is required to retain by law, for tax purposes, for fraud prevention, or to defend against legal claims. Encrypted database backups age out of the system within ninety (90) days.

7. Security

The Company implements administrative, technical, and physical safeguards designed to protect personal information, including:

• Transport Layer Security (TLS 1.2 or higher) for all data in transit;
• Encryption at rest provided by Cloudflare D1 and R2;
• Password storage using PBKDF2-SHA256 with a unique per-user salt;
• HTTP-only, secure, same-site session cookies;
• Access controls restricting personal-information access on a need-to-know basis;
• Object-level authorization on stored files (uploaded files are served only to the authenticated account that owns them).

No system is impenetrable. The Company does not guarantee absolute security. If the Company learns of a security incident materially affecting your personal information, the Company will notify you without undue delay and in any event within the time required by applicable law.

8. Your Rights

Depending on where you reside, you have some or all of the following rights with respect to your personal information:

• Right of Access — request a copy of the personal information the Company holds about you;
• Right of Correction — request correction of inaccurate personal information;
• Right of Deletion — request deletion of your personal information, subject to limited legal-retention exceptions;
• Right of Portability — receive your personal information in a structured, commonly used, machine-readable format;
• Right to Object or Restrict — object to or request restriction of certain processing;
• Right to Withdraw Consent — for any processing based on consent.

To exercise any of these rights, contact privacy@homeslogix.com. The Company will respond within thirty (30) days, or such longer period as may be required by applicable law.

9. California Residents (CCPA / CPRA)

If you are a California resident, you have the rights described in the California Consumer Privacy Act and California Privacy Rights Act, including the rights to know, delete, correct, and limit the use of sensitive personal information, and to opt out of any "sale" or "sharing" of personal information. The Company does not sell or share personal information as those terms are defined under California law. The Company does not process sensitive personal information for the purpose of inferring characteristics about a consumer.

10. Texas Residents (TDPSA)

If you are a Texas resident, you have rights under the Texas Data Privacy and Security Act substantially similar to those described in Section 8. The Company does not sell personal information and does not process sensitive personal information for advertising or for any purpose other than that disclosed in this Policy. Texas residents may exercise their rights at privacy@homeslogix.com.

11. European Economic Area, United Kingdom & Switzerland (GDPR / UK GDPR)

If you reside in the European Economic Area, the United Kingdom, or Switzerland, the legal bases on which the Company processes your personal information are: (a) the performance of a contract to which you are a party (the Terms of Service); (b) the Company's legitimate interests in operating, securing, and improving the Service, which are not overridden by your interests or rights; and (c) compliance with the Company's legal obligations. You have the rights described in Section 8, plus the right to lodge a complaint with the data-protection supervisory authority of your jurisdiction. The Company is not currently established in the European Economic Area or the United Kingdom and does not have a designated representative.

12. Children

The Service is intended for adults managing rental property. The Company does not knowingly collect personal information from individuals under the age of thirteen (13). If you believe a child has provided personal information to the Service, contact privacy@homeslogix.com and the Company will delete it.

13. International Data Transfers

The Service is operated from the United States and personal information may be processed on Cloudflare's global edge network. By using the Service, you understand that personal information may be transferred to and processed in the United States and other countries, which may have data-protection laws different from those of your country. For transfers from the European Economic Area, the United Kingdom, or Switzerland, the Company relies on Cloudflare's standard contractual clauses and supplementary measures as appropriate.

14. Changes to This Policy

The Company may amend this Policy from time to time. When material changes are made, the Company will provide at least fourteen (14) days' notice by email to the address associated with your account and through a notice within the Service. Your continued use of the Service following the effective date of any amended Policy constitutes acceptance of the amended Policy. The current version is identified at the top of this page.
